TERMS & CONDITIONS
Retreat dates: Friday 2 October to Wednesday 7 October 2026

These Terms & Conditions apply to all bookings for the Priestess Retreat 2026.
By paying a deposit, making a full payment, entering a payment plan, or otherwise confirming your booking, you acknowledge that you have read, understood, and agreed to these Terms & Conditions.
Nothing in these Terms & Conditions limits any rights or remedies you may have under the Consumer Guarantees Act 1993, the Fair Trading Act 1986, or any other applicable New Zealand law.
1. THE RETREAT
The Priestess Retreat is a six-day residential, educational, experiential, and initiatory journey exploring somatic awareness, psychological inquiry, movement, ritual, archetypal work, relationship, nature, silence, and direct experience of the sacred.
The retreat begins on Friday 2 October 2026 and concludes on Wednesday 7 October 2026.
Participants may arrive from 2:00 PM on Friday 2 October.
The retreat concludes, and all participants must leave the venue, by 12:00 noon on Wednesday 7 October.
The opening and closing sessions form an important part of the retreat. Participants are expected to attend the full journey and should not plan to arrive late or leave early without prior agreement from Hathor Heka.
2. RETREAT INVESTMENT
The retreat prices are:

Single Room ā NZD $3,000 per person
-
Shared Double Room ā NZD $2,700 per person
-
Shared Triple Room ā NZD $2,400 per person
All advertised participant prices include GST.
The retreat investment includes:
-
Six days and five nights at Äio WÄ«ra Seminar and Retreat Centre
-
The accommodation option selected and confirmed
-
Dinner on Friday 2 October
-
Breakfast, lunch, and dinner from Saturday 3 October to Tuesday 6 October
-
Breakfast on Wednesday 7 October
-
Vegetarian meals, with vegan and gluten-free options where arranged in advance
-
Tea and fresh fruit throughout the retreat
-
All scheduled teachings, somatic practices, movement sessions, rituals, and ceremonies
-
The Priestess Initiation Ceremony
-
A ceremonial candle set
-
Access to the venueās shared facilities and surrounding land, subject to venue rules and availability
Unless expressly stated otherwise, the retreat investment does not include:
-
Transport to or from the venue
-
Flights or other travel expenses
-
Travel insurance
-
Accommodation before or after the retreat
-
Personal purchases
-
Treatments or services booked with external practitioners
-
Specialised food or dietary products beyond what has been agreed
-
Medical, psychological, or therapeutic care
3. DEPOSIT
A non-refundable deposit of NZD $400 per person is required to reserve a place.
The deposit:
-
is deducted from the total retreat investment;
-
may be applied to any available room option;
-
does not guarantee a specific room until that room has been confirmed in writing;
-
is non-refundable if the participant cancels or decides not to attend, except where required by law or where Hathor Heka cancels the retreat.
A booking is not confirmed until the deposit or full payment has been received.
4. ROOM SELECTION AND ALLOCATION
Room options are subject to availability.
There are only three single rooms available. Payment of the general deposit does not reserve a single room unless Hathor Heka confirms that allocation in writing.
Shared rooms may be allocated by Hathor Heka according to availability, group requirements, and practical considerations.
Participants may express preferences regarding room sharing, but Hathor Heka cannot guarantee that every request will be accommodated.
If a chosen room option is no longer available, the participant may select another available option and the total retreat investment will be adjusted accordingly.
5. PAYMENT OF THE REMAINING BALANCE
After paying the deposit, the participant may:
-
pay the remaining balance in full; or
-
request an agreed payment plan.
Any payment plan must be confirmed in writing by Hathor Heka.
Unless another written arrangement has been agreed, the full retreat balance must be paid no later than one week before the retreat begins, by Friday 25 September 2026.
Failure to make payments by the agreed dates may result in the booking being cancelled and the place being offered to another participant.
Amounts already paid will remain subject to the cancellation policy below.
Payment-processing or credit-card fees may apply. Bank-transfer details may be requested directly from Hathor Heka.
6. PARTICIPANT CANCELLATIONS
All cancellation requests must be submitted in writing by email.
The date on which Hathor Heka receives the written cancellation will determine the applicable refund.
Deposit
The NZD $400 deposit is non-refundable.
Cancellation more than three months before the retreat
For cancellations received more than three months before the retreat start date, the participant will receive a refund of 50% of the total amount paid, excluding the non-refundable deposit.
Cancellation between three months and one month before the retreat
For cancellations received between three months and one month before the retreat start date, the participant will receive a refund of 25% of the total amount paid, excluding the non-refundable deposit.
Cancellation within one month of the retreat
For cancellations received within one month of the retreat start date, no refund will be available.
This includes cancellations caused by:
-
changes in personal circumstances;
-
work or family commitments;
-
illness or injury;
-
transport disruption;
-
missed flights;
-
failure to obtain travel documentation;
-
choosing to leave the retreat early;
-
removal from the retreat due to serious or repeated breaches of these Terms & Conditions.
Participants are strongly encouraged to obtain suitable travel and event-cancellation insurance.
Nothing in this section removes any refund or remedy that may be required under New Zealand law.
7. TRANSFERRING A BOOKING
A participant may ask to transfer their place to another suitable person.
Transfers are not automatic and require prior written approval from Hathor Heka.
The proposed replacement participant must:
-
meet the retreatās participation requirements;
-
complete the registration and wellbeing process;
-
agree to these Terms & Conditions;
-
pay any outstanding balance;
-
be approved by Hathor Heka before the retreat begins.
Hathor Heka may decline a transfer where there is insufficient time to complete the registration process or where the retreat is not considered suitable for the proposed replacement participant.
Any administrative or payment-processing costs arising from the transfer may be deducted from amounts already paid or charged separately.
8. CANCELLATION OR MATERIAL CHANGE BY HATHOR HEKA
Hathor Heka may cancel, postpone, relocate, or materially change the retreat where reasonably necessary due to:
-
insufficient enrolment;
-
illness or incapacity of the lead facilitator;
-
venue unavailability;
-
natural disaster;
-
severe weather;
-
epidemic or public-health restrictions;
-
government action;
-
travel disruption;
-
safety concerns;
-
circumstances outside Hathor Hekaās reasonable control.
If Hathor Heka cancels the retreat and does not provide a suitable rescheduled retreat, participants may choose:
-
a full refund of retreat payments received by Hathor Heka; or
-
a credit of equal value toward another Hathor Heka offering.
If the retreat is postponed or rescheduled, participants will be given information about the new arrangement and the available options.
Hathor Heka is not responsible for indirect or external costs incurred by participants, including flights, transport, travel insurance, accommodation, loss of income, childcare, or other travel-related expenses, except where liability cannot lawfully be excluded.
Participants are responsible for arranging appropriate insurance for these costs.
9. CHANGES TO THE PROGRAMME
The retreat is a responsive, experiential journey.
The facilitator may change the timetable, sequence, content, practices, ceremonies, guest contributors, or activities where this supports the needs of the group, the integrity of the retreat, the weather, the land, safety, or other practical circumstances.
Such reasonable programme changes do not automatically entitle a participant to a refund.
The essential nature and overall duration of the retreat will not be materially changed without good reason.
10. PARTICIPANT SUITABILITY
The Priestess Retreat involves sustained group participation, somatic and relational practices, movement, ritual, emotional inquiry, periods of silence, time in nature, and experiences that may be physically or emotionally demanding.
Before booking, each participant is responsible for considering whether the retreat is appropriate for their current physical, emotional, psychological, and spiritual circumstances.
Participants must disclose relevant information through the registration and wellbeing form, including:
-
significant physical health conditions;
-
injuries or mobility requirements;
-
pregnancy;
-
recent surgery;
-
allergies;
-
prescribed medications relevant to participation or emergency care;
-
acute psychological distress;
-
recent psychiatric hospitalisation;
-
conditions that may affect safe participation;
-
accessibility or support requirements.
Disclosure does not automatically prevent attendance. It allows Hathor Heka to consider whether reasonable support or adaptations are possible.
Hathor Heka may request further information or a conversation before confirming participation.
Where appropriate, Hathor Heka may recommend that a participant obtain clearance from a qualified medical or mental-health professional.
Hathor Heka may decline or withdraw a booking where it reasonably believes that:
-
the retreat is not suitable for the person at that time;
-
the available environment cannot adequately support their needs;
-
participation could present a material risk to the participant or others;
-
important information has been withheld or misrepresented.
Where Hathor Heka withdraws a participant before the retreat for suitability reasons, any refund will be assessed fairly in light of the circumstances, costs already committed, and applicable consumer law.
11. EDUCATIONAL AND EXPERIENTIAL NATURE OF THE RETREAT
The Priestess Retreat is educational, experiential, spiritual, and initiatory in nature.
It is not:
-
psychotherapy;
-
medical treatment;
-
psychiatric care;
-
clinical trauma treatment;
-
addiction treatment;
-
crisis intervention;
-
a substitute for professional healthcare.
Although therapeutic insight, emotional release, transformation, or healing experiences may arise, no specific outcome is promised or guaranteed.
Participants remain responsible for seeking appropriate medical, psychological, legal, financial, or other professional support where needed.
12. PERSONAL RESPONSIBILITY AND CHOICE
Participants are invited to remain in relationship with their own body, boundaries, capacity, and pace.
Participation in particular practices is invitational rather than forced. Participants may pause, rest, observe, request an adaptation, or choose not to participate in a particular exercise.
Participants are responsible for:
-
communicating relevant boundaries and needs;
-
seeking clarification where needed;
-
informing the team if they feel unwell or overwhelmed;
-
taking prescribed medication as directed;
-
caring for their personal belongings;
-
making choices that support their own wellbeing;
-
respecting the wellbeing, privacy, and boundaries of others.
Hathor Heka will take reasonable care in the design and facilitation of the retreat, but participants acknowledge that personal transformation cannot be predicted or guaranteed.
13. COMMUNITY CONDUCT
The retreat depends upon a culture of respect, responsibility, confidentiality, and care.
Participants agree to:
-
treat other participants, facilitators, support team members, venue staff, and caterers respectfully;
-
respect physical, emotional, sexual, cultural, and relational boundaries;
-
avoid harassment, intimidation, discrimination, coercion, aggression, or abusive conduct;
-
refrain from pressuring another participant to disclose, participate, touch, or engage;
-
follow reasonable safety instructions;
-
respect the venue, land, facilities, and shared spaces;
-
participate in agreed community responsibilities where appropriate;
-
avoid behaviour that seriously disrupts the group or retreat.
Hathor Heka may intervene where conduct affects the safety, dignity, or integrity of the group.
A participant may be asked to change their behaviour, step away from an activity, receive additional support, or leave the retreat where reasonably necessary.
If a participant is required to leave due to serious misconduct, repeated boundary violations, intoxication, violence, harassment, or refusal to follow reasonable safety directions, no refund will ordinarily be provided.
14. DRUGS, ALCOHOL, SMOKING, AND INTOXICATION
Äio WÄ«ra is a drug-free and alcohol-free venue.
Participants must not bring, use, supply, or be under the influence of alcohol or non-prescribed recreational drugs during the retreat.
Smoking or vaping is permitted only where expressly allowed by the venue.
A participant who arrives intoxicated or uses prohibited substances may be asked to leave without refund.
Prescription medication must be used responsibly and in accordance with the prescribing instructions.
15. TOUCH, MOVEMENT, AND SOMATIC PRACTICES
Some practices may involve movement, breath, sound, partner work, group interaction, or appropriate non-sexual touch.
Consent will be invited where touch or partner work is involved.
Participants may decline touch or request an alternative at any time.
16. FOOD AND DIETARY REQUIREMENTS
The retreat provides vegetarian meals.
Vegan and gluten-free options may be available where requested through the registration process before the stated dietary deadline.
Participants must disclose serious allergies and medically necessary dietary requirements before the retreat.
Hathor Heka and the catering provider will take reasonable care with dietary information but cannot guarantee a completely allergen-free kitchen or environment.
Highly specialised, restrictive, or complex dietary needs may not be able to be accommodated. Hathor Heka will communicate with the participant where additional arrangements, products, or costs may be required.
Participants remain responsible for bringing any personal food, medication, or emergency treatment they reasonably require, once agreed with Hathor Heka.
17. ACCOMMODATION AND VENUE
Participants agree to follow the rules, guidelines, and reasonable directions of Äio WÄ«ra Seminar and Retreat Centre.
Participants are responsible for:
-
treating rooms, facilities, and natural areas with care;
-
leaving shared spaces reasonably clean and tidy;
-
reporting damage promptly;
-
bringing any linen, towels, clothing, footwear, or personal items identified in the preparation information;
-
paying for damage caused deliberately or through negligence.
Room changes may occasionally be necessary for operational, accessibility, safety, or group reasons.
Hathor Heka will make reasonable efforts to provide the booked room category. If that category cannot be supplied, Hathor Heka will offer an appropriate adjustment, alternative, or refund of the relevant price difference.
18. TRANSPORT AND TRAVEL
Participants are responsible for arranging their own transport to and from the venue.
Any carpooling list, shared ride, or informal transport connection facilitated by Hathor Heka is provided as a convenience only.
Unless the transport is directly contracted and supplied by Hathor Heka, Hathor Heka does not control and is not responsible for independent drivers, vehicles, delays, accidents, or travel arrangements.
Participants should allow sufficient travel time to arrive before the opening of the retreat.
19. PERSONAL PROPERTY
Participants are responsible for their own belongings.
Hathor Heka is not responsible for loss, theft, or damage to personal property unless caused by Hathor Hekaās negligence or where liability cannot legally be excluded.
Valuable or irreplaceable belongings should not be brought to the retreat.
20. PHOTOGRAPHY, VIDEO, AND RECORDING
Hathor Heka will not intentionally publish identifiable photographs, video, audio, written testimonials, or personal stories of a participant for promotional purposes without appropriate consent.
Any consent to promotional photography or recording will be requested separately and may be declined without affecting participation in the retreat.
Participants must not photograph, film, record, or share images or personal content involving another participant without their clear permission.
Recording of teachings, rituals, ceremonies, or private group processes is not permitted unless expressly authorised.
21. CONFIDENTIALITY AND GROUP PRIVACY
Participants agree to respect the privacy of the group.
Personal stories, experiences, disclosures, identities, and sensitive information shared by other participants must not be repeated outside the retreat in a way that identifies or could reasonably identify them.
Participants may speak about their own experience but must not disclose another personās private information without permission.
Hathor Heka will also take reasonable steps to protect participant privacy. However, absolute confidentiality cannot be guaranteed within a group setting because each participant is independently responsible for their conduct.
Confidentiality may be limited where disclosure is reasonably necessary to:
-
respond to a serious and immediate safety concern;
-
obtain emergency assistance;
-
comply with legal obligations;
-
protect a participant or another person from serious harm.
22. COLLECTION AND USE OF PERSONAL INFORMATION
Hathor Heka may collect personal information necessary to:
-
process bookings and payments;
-
communicate with participants;
-
assess retreat suitability;
-
arrange accommodation and dietary requirements;
-
support participant wellbeing and accessibility;
-
respond to emergencies;
-
administer the retreat.
Information may be shared with members of the facilitation, support, venue, catering, or emergency team only where reasonably necessary for these purposes.
Personal information will be handled in accordance with the Hathor Heka Privacy Policy and applicable New Zealand privacy law.
Participants are responsible for providing accurate and current information.
23. EMERGENCIES AND MEDICAL CARE
In an emergency, Hathor Heka may contact emergency services, the participantās nominated emergency contact, or an appropriate health professional.
Where a participant cannot provide consent and urgent action is reasonably necessary, the team may take reasonable steps to protect the participantās wellbeing.
Participants are responsible for costs associated with ambulance transport, medical treatment, medication, hospital care, or other external services unless liability rests with Hathor Heka under applicable law.
24. INTELLECTUAL PROPERTY
Retreat teachings, written materials, recordings, practices, frameworks, ceremonial structures, graphics, and resources created by Sia Hu Heka or Hathor Heka remain the intellectual property of their respective owners.
Materials are provided for the participantās personal use and integration.
Participants must not, without prior written permission:
-
reproduce or distribute retreat materials;
-
record or republish teachings;
-
teach, facilitate, sell, or commercially adapt proprietary material;
-
present Hathor Heka material as their own;
-
use the Hathor Heka name, branding, or content to promote unrelated services.
This does not prevent participants from integrating their personal insights into their own lives and work, provided proprietary material is not copied or misrepresented.
25. COMPLAINTS AND CONCERNS
Participants are encouraged to communicate concerns as early as possible so that they can be addressed constructively.
Concerns may be raised directly with Sia Hu Heka or through the contact details provided for the retreat.
Hathor Heka will endeavour to:
-
listen carefully;
-
understand the concern;
-
respond within a reasonable time;
-
seek a fair and proportionate resolution.
Nothing in this process prevents a participant from exercising rights available under New Zealand law.
26. LIMITATION OF LIABILITY
To the fullest extent permitted by law, Hathor Heka is not responsible for losses arising from:
-
circumstances outside its reasonable control;
-
a participantās failure to disclose relevant information;
-
a participantās failure to follow reasonable instructions;
-
voluntary activities undertaken outside the scheduled retreat programme;
-
independent travel, accommodation, or service providers;
-
the conduct of another participant that Hathor Heka could not reasonably have prevented;
-
loss or damage to personal belongings.
Hathor Heka does not exclude or limit liability where doing so would be unlawful.
Nothing in these Terms & Conditions limits the participantās rights under the Consumer Guarantees Act 1993, the Fair Trading Act 1986, or other applicable legislation.
27. CHANGES TO THESE TERMS
The version of these Terms & Conditions accepted at the time of booking will apply to the booking.
Hathor Heka may make minor administrative or clarifying updates where they do not materially disadvantage participants.
Any material change affecting an existing booking will be communicated directly.
28. GOVERNING LAW
These Terms & Conditions are governed by the laws of New Zealand.
The parties agree to first attempt to resolve any dispute through direct and respectful communication.
If a resolution cannot be reached, either party may use any dispute-resolution process or legal remedy available under New Zealand law.
29. ACCEPTANCE
By completing a retreat payment, the participant confirms that:
-
they have read and understood these Terms & Conditions;
-
they agree to the payment and cancellation policy;
-
they understand that the NZD $400 deposit is non-refundable;
-
they understand that no refund is available for cancellation within one month of the retreat;
-
they will complete the registration and wellbeing form honestly;
-
they accept responsibility for assessing their suitability and communicating relevant needs;
-
they agree to follow reasonable retreat and venue guidelines;
-
they understand that no particular personal, therapeutic, spiritual, or professional outcome is guaranteed.
